Privacy policy

What we collect when you buy, pay, write to us or visit the site, why we use it, and what you can ask us to do with it.

Who we are

This policy covers the X Mailer website, the X Mailer app and the X Proxy. X Mailer (“we”, “us”) decides how the personal data described here is used, so we are responsible for it under UK GDPR.

You can reach us at support@xmailer.to. About X Mailer says more about who we are.

What we collect

What we collect depends on what you do: buy, pay, write to us, chat, visit the site or use the X Proxy.

When you buy

At checkout we ask for your email address and which plan and option you want. For each order we keep:

  • your email address
  • the order number, the plan and option, and the price in US dollars
  • the order’s status
  • NOWPayments’ reference numbers for the invoice and the payment
  • the cryptocurrency used, the amount asked for and the amount received
  • the dates and times of the order, such as when it was placed and when it was paid
  • the latest payment update NOWPayments sent us about it, kept as a record of the payment

We use your email address to send your receipt and to reach you about your order.

When you start a payment, the site also uses your internet address to limit repeated attempts. That check happens in the server’s memory, and your internet address isn’t stored with your order.

When you pay

NOWPayments handles the payment itself, on its own payment page. We send it the price, the order number and a description of what you’re buying, but not your email address. It tells us the payment’s status and the amounts involved.

Emails

When your payment arrives, we email you a receipt. A person then emails you what you need to get started, such as the installer link and your licence. We also email ourselves the details of each order, including your email address, so that a person can follow it up.

If you write to us, we have your email address and whatever you put in your message.

Live chat

The chat window on this site is provided by Crisp. Once a page has loaded, your browser fetches the chat from Crisp, so Crisp receives the usual technical details of that request, such as your internet address and browser. If you send a message, Crisp processes it, along with anything you share in the conversation.

When you visit the site

Like most websites, our hosting provider may record technical details of each request, such as your internet address, your browser and the pages you ask for.

The X Proxy

To run your connection, the X Proxy handles what it needs to: your username and password, or the internet address you connect from if you sign in that way, and how much traffic you use, which counts towards your monthly allowance.

The app

X Mailer runs on your computer. Your lists and logs stay there, not on our servers, and the app sends your messages through your own email accounts.

What we don’t do

  • We don’t sell personal data.
  • We don’t put analytics or advertising scripts on this site.
  • We don’t load fonts from a font service. They are served from this site, so loading a page doesn’t contact one.

Why we use it

UK GDPR asks us to name a lawful basis for each use of your data. Ours are:

  • to deliver what you bought and reach you about your order, because this is needed for our contract with you
  • to keep the site and our services secure, to stop misuse, and to answer your questions, because these are our legitimate interests
  • to keep the records the law requires, such as accounting records, because this is a legal obligation

Who we share it with

We share personal data only with the providers that help us run the site and the services you buy, and only as much as each one needs, or when the law requires it. These include:

  • NOWPayments, which handles payments
  • Crisp, which provides the live chat
  • Vimeo, which plays the product video
  • the email service we send our emails through
  • our hosting provider, whose servers run the site and hold the order records

Each of them handles data under its own privacy terms.

International transfers

Some of these providers may process data outside the UK. Where they do, we rely on the safeguards they provide.

How long we keep it

We keep order records for as long as we need them to support you, and for accounting and legal requirements.

Crisp keeps chat history under its own settings.

Cookies

The site doesn’t set tracking or advertising cookies. Crisp’s chat may use cookies or local storage in your browser so that the conversation works.

The product video on the home and product pages is played by Vimeo. Your browser loads Vimeo’s player when you scroll to it, so Vimeo receives your internet address. We ask the player not to track you: it sets no tracking cookies and records no viewing data.

Your rights

Under UK GDPR, you can ask us to:

  • give you a copy of the personal data we hold about you
  • correct it
  • delete it
  • restrict how we use it
  • stop using it, if you object to how we use it
  • give it to you, or to someone else, in a format a computer can read

To use any of these rights, write to us at support@xmailer.to.

If you’re unhappy with how we handle your data, you can complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, through the ICO’s website.

Changes to this policy

We may update this policy. The date at the top of this page shows when it last changed.
